How to choose equipment for a café or coffee shop

A productive café is built around movement. Before comparing brands or prices, map the path from order taking to grinding, extraction, milk preparation, food display, pickup and wash-up. The best equipment plan reduces crossing traffic, keeps high-use ingredients within reach and gives staff enough capacity to recover during the morning rush.

Start with peak service demand

Use your busiest 15–30 minutes—not the daily average—to estimate coffee volume. Consider the number of espresso-based drinks, alternative milks, teas and cold beverages, plus how many trained baristas will work at once. This helps determine group-head capacity, boiler recovery, grinder speed and whether separate grinders are needed for decaf or a second blend.

Plan refrigeration and food display together

Underbench refrigeration should support the barista and preparation workflow, while display cabinets should suit the products you intend to sell. Check operating temperature, ambient rating, shelf layout, lighting, access and cleaning requirements. For cakes and grab-and-go food, presentation matters—but temperature control and easy restocking matter just as much.

Confirm the site before ordering

Measure doorways, benches and service clearances. Confirm electrical supply, water pressure, filtration, drainage and ventilation with qualified trades. Water quality has a direct effect on coffee flavour, machine reliability and warranty conditions, so suitable filtration should be planned with the machine rather than added as an afterthought.

Build beyond the coffee station
